Office Administrator

ABOUT THE ROLE

In this role, you will be part of a five-person Office Support team supporting our offices in Poland. You will help keep our office spaces running smoothly, well-maintained, and aligned with employees’ day-to-day needs. Your work directly impacts the creation of a comfortable, efficient workplace for everyone.

RESPONSIBILITIES

  • Manage facility vendors, including cleaning, catering, post, and security services
  • Care for office space by reporting damages, ordering office furniture and supplies, and securing all materials necessary for office functioning
  • Receive visitors at the front desk, prepare conference rooms for guests and clients, and arrange visits
  • Receive, sort, and distribute daily mail and deliveries
  • Order front office supplies and maintain an inventory of stock
  • Schedule group meetings, maintain calendars, conduct research, and create reports
  • Manage contracts and price negotiations with office vendors, service providers, and office leases in cooperation with legal advisors and the finance department
  • Develop and implement office policies by setting up procedures and standards to guide office operations
  • Ensure meeting office financial objectives by preparing an annual budget, planning expenditures, analyzing variances, and making corrections
  • Take part in regular operational meetings with the DevCenter Director, Country Managers, and other operational teams

REQUIREMENTS

  • Extensive experience (3+ years) in roles such as Office Manager, Front Office Manager, or Administrative Assistant
  • Strong knowledge of office administration responsibilities, systems, and procedures
  • Advanced proficiency in MS Office tools, with a focus on Excel and Outlook
  • Excellent time management and multitasking skills, combined with a problem‑solving mindset
  • High attention to detail with a clear ability to prioritise tasks effectively
  • Strong resilience and efficiency in working under pressure
  • Confident communication skills in English, both written and verbal, in a multicultural and distributed setup
